OFFICE ASSISTANT PAY GRADE III (NON-EXEMPT)

GENERAL DESCRIPTION OF DUTIES:

Entry level position responsible for routine and varied clerical work.

 

SPECIFIC DUTIES AND RESPONSIBILITIES:

 

ESSENTIAL JOB FUNCTIONS:

  •  Types letters and documents as requested
  • Answers phones and provides general information
  • Runs errands for Administrative Staff
  • Makes copies and collates documents as requested

MINIMUM QUALIFICATIONS

High School Diploma or GED and some experience in the clerical field.

 

LICENSES, CERTIFICATIONS OR REGISTRATIONS:

Valid Florida Driver’s License

 

KNOWLEDGE, SKILLS AND ABILITIES:

  •  Ability to clearly communicate information both verbally and in writing
  • Ability to operate basic equipment, e.g. computer terminals, printers, copy machines, telephone systems, facsimile machines.

PHYSICAL ABILITIES REQUIRED TO PERFORM THE ESSENTIAL FUNCTIONS OF THIS JOB:

  •  Use of hands to finger, handle or feel
  •  Good vision and hearing
  • Ability to periodically walk, stand and sit for prolonged periods.

 

When reading all of the job descriptions, it is obvious Ms. Tebo does not know much about what her staff does.  Many times these job descriptions were to be changed to show the accurate duties of what each staff members does, and again, Ms. Tebo has done the very minimum without a clue of what is required to run a town.
Let’s take for instance the subject matter of Pam Tomlinson’s clerk position…which has more finance duties than the finance director.  Ms. Tomlinson as clerk is to act as Town Manager if Ms. Tebo is out and from the Office Assistant/ Administrative Assistant Position, it looks as if Yvonne does nothing; yet Yvonne enters all the deposits on the Enterprise Account which is still shown as Pam Tomlinson’s job.   Furthermore, even during the time Anita River’s was the Administrative Assistant, both Stacy Tebo and Pam Tomlinson were out of the office and Anita was required to run the office and make decisions which her job description never stipulated.  Instead of a Town Manager or an assistant Town Manager in the Town Manager’s absence, what we had was an Admin running the Town and doing a great job at running it I might say.  Anita Rivers was amazing with a great mind and mental deduction of what was right at all times.   I sometimes wonder if some sixth grader wrote up these job descriptions because obviously if it was done by Ms. Tebo, she has no idea of the technicalities of any of the jobs her staff must perform and what the standards may be for requirements to fulfill each position.  Sad indeed, but expected.  Or perhaps Government is not required to have technical job descriptions.  In business if you did not have a concise job description, under which an employee could be evaluated on as to their performance, you could be sued by the employee for requiring an employee to do something not in their job description, if it was not something initially discussed and agreed to, expecting some form of bonus or additional pay for additional work above their pay grade.  Yet Pam who is responsible for the Enterprise Account discriminated against Anita Rivers and told Ms. Rivers to “do her own damned job” which was actually Pam Tomlinson’s “damned job” by job description.
